Privacy notice

This notice explains how Hill Farm Ltd uses personal information collected through this website. It applies UK data protection law, including the UK GDPR and the Data Protection Act 2018.

Who we are

Hill Farm is operated by Hill Farm Ltd, company number 14066186, registered office: Hill House, Hill Farm Road, Playford, Ipswich IP6 9DT. We are registered with the Information Commissioner’s Office (registration number 00015835064), and Hill Farm Ltd is the controller of the information described here. To contact us about your data, use the contact form.

What we collect and why

Enquiry forms. If you use one of our forms we collect your name, email address, the topic you choose and your message. We use them only to reply to you and to arrange what you asked about, such as a stay, a visit or a collaboration. Our lawful basis is legitimate interests (responding to enquiries) and, where you are asking to book or work with us, taking steps at your request before entering a contract.

Spam protection. To block automated abuse the forms check how long they took to complete and use a small calculation run in your browser. They also count submissions from your connection using a one-way scrambled value derived from your IP address, kept for one hour. No third-party spam or captcha service is used.

Server logs. Our web server records technical information about each visit, including your IP address, the page requested and your browser type. We use it to keep the site secure and working. These logs are deleted automatically after a short period (about two weeks).

Cookies and tracking

This site does not use analytics, advertising or tracking cookies, and does not embed third-party content, so there is no cookie banner. Fonts, scripts and the map images on our story page are served from this site. Cookies are used only for administrator logins.

Airbnb. Stays are booked through Airbnb. The “Check dates on Airbnb” button is an ordinary link: nothing is sent to Airbnb until you follow it, and from then on Airbnb’s own privacy policy applies. The availability calendar on the Stay page is fetched from Airbnb by our server, not by your browser, and holds only which dates are booked.

Who we share it with

We do not sell your information. It is processed on our behalf by: our hosting provider, IONOS, which hosts this website on a server in London, UK; and Google, whose Gmail service delivers enquiry emails to us. Google may process data outside the UK under approved safeguards. If your enquiry is about an independent enterprise on the farm, we will ask you before passing your details to it.

How long we keep it

Enquiries stored on this website are deleted automatically after 12 months. Emails we exchange with you may be kept longer where needed for a booking, an agreement or legal reasons.

Your rights

You can ask us for a copy of your information, to correct it, to erase it, to restrict or object to its use, or to move it to another provider. Contact us using the form and we will respond within one month. If you are unhappy with how we handle your data you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
